When evaluating or managing your NetSuite implementation, one of the most crucial elements to understand is how NetSuite user licenses work. Choosing the right license types can significantly reduce costs and improve system access control. In 2024 and 2025, NetSuite expanded its license options to include more specialized user roles, including View and Approve, WMS Only, and Project Manager users.

In this guide, we’ll break down the key NetSuite license types, what they include, and how to choose the right mix for your organization.

Why NetSuite License Types Matter

NetSuite operates on a named user model, meaning each license corresponds to a specific user login. Licenses vary in access level, functional capabilities, and price. Giving users more access than they need wastes budget; giving them less hampers productivity.

Here’s a breakdown of the most common NetSuite user license types:

New License Types (2024–2025 Updates)

  • View and Approve User License
    • Released in 2024, this role allows users to view records and approve workflows, but not create or edit records.
    • Cost-effective option for department heads or mid-level managers.
    • Cannot initiate transactions or edit master records.
  • CRM Only License
    • Gives users access to NetSuite’s CRM, including leads, campaigns, opportunities, customer records, and basic reporting.
    • No access to accounting, projects, or fulfillment.
    • Useful for sales and customer service teams.
  • WMS Only License
    • Introduced with the NetSuite WMS mobile enhancements, this license restricts access to warehouse functions only.
    • Users can scan barcodes, pick/pack/ship, receive inventory, and handle bin transfers – but cannot see financial data.
  • Project Manager License
    • Designed for non-financial project owners, this license supports task assignments, time tracking, budgets, and project reporting.
    • Cannot approve vendor bills or manage GL-impacting transactions.

Choosing the Right NetSuite User License

When evaluating licenses, ask:

  • Does this user need to touch financial data?
  • Are they approving, viewing, or creating records?
  • Do they work in a warehouse, on sales, or in project delivery?

Pro tip: Don’t over-license. It’s much easier to add than remove.

Here are some items we think are looking valuable in the NetSuite 2024.1 Release.

Revenue Recognition Field Mapping Enhancements

This release includes the following enhancements to the revenue recognition field mapping functionality:

  • A new record page named Revenue Recognition Field Map lets you create map records that are tracked with system notes. Previously, all field maps were created from the Revenue Recognition Field Mapping page.
  • A new list page named Revenue Recognition Field Mapping contains all the field maps and their relevant details. You can view each revenue recognition field map record directly from the Revenue Recognition Field Mapping page. You can also open and edit each revenue recognition field map from this page.
  • The optional field, Transaction Type, was added to the Revenue Recognition Field Map page. This field lets you specify the type of transaction the mapping is applied to. Previously, mappings were applied to all transaction types that contained the selected source field.
  • The optional field, Custom Form, was added to the Revenue Recognition field Map page. This field lets you specify the custom form you want to create the mapping from based on the selected transaction type.
  • The optional fields, Start Date and End Date were added to the Revenue Recognition Field Map page. These fields can be used to configure mappings within a specific date range. When the current date is outside of the specified date range, the mapping becomes invalid.
  • The available Source Field values are dependent on the selected Source Record Type, Transaction Type, and Custom Form combination.
  • The Automatically Update Target Field Value box was added to the Revenue Recognition Field Map page. This checkbox lets you specify if the target field value automatically updates upon changing the source field value and updating the revenue arrangement. Previously, changes to source fields had to be updated manually on the target fields in the revenue arrangement.
  • Different data types can be mapped to each other. For example, a Decimal Number source field type can be mapped to a Percent target field type. For more information, see Cross-Data Type Mappings.
  • You can import and export revenue recognition field maps using CSV files. For more information, see Importing Revenue Recognition Field Maps.

This functionality is only available if the Advanced Revenue Management (Essentials) feature is enabled. For more information, see the help topic Enabling the Advanced Revenue Management (Essentials) Feature. Favorites Feature Available in Dropdown Lists

You can select up to five favorite items in the Customer, Add Multiple, and Items fields on sales orders. In the Add Multiple field, you can show only your favorite items by selecting the Show favorites only box.You can now apply an uplift at any point in the subscription term as well as during subscription renewal. For instructions on using uplift, see the help topic Setting Optional Preferences.

To enable the Favorites feature, go to Set Preferences > General and check the Allow Favorites in Dropdowns box. To mark an item as a favorite, click the star icon next to the item name in the dropdown list.

Favorites are associated with your personal preferences and are specific to your NetSuite account and role.

SuiteTax Now Generally Available

The SuiteTax feature is now generally available. Earlier, SuiteTax was a hidden feature and it had to be shared to a customer’s account before it could be enabled. To enable the feature, customers had to undergo a qualification process by submitting a completed SuiteTax questionnaire through a support case.

As of 2024.1, administrators can enable the feature by going to Setup > Company > Enable Features > Tax subtab. It is an account-level feature which applies to the whole NetSuite account and not to selected subsidiaries. If you enable the feature, it is not possible to revert this action. Therefore, you should first enable the feature in your Sandbox account prior to enabling it in your product account. When you check the box to enable the SuiteTax feature, you see an information message showing potentially incompatible features, preferences, SuiteApps, or bundles. To be able to complete the enablement process, you must perform all the required actions you see in the message. Text Enhance

Text Enhance uses generative AI to assist you with writing business content in NetSuite. It can help you create and refine content, as well as make your content the right length for your needs. Text Enhance uses information from the page you are editing when it generates content. For example, when you use Text Enhance to generate a sales description for an inventory item, it uses information such as the item name, vendor description, display name, and stock description from the inventory item page. Text Enhance can also help you write different item descriptions for the same item, depending on how you will use the description. For example, when you use Text Enhance to generate text for the Purchase Description field of the Purchase/Inventory subtab, the generated text can include different details and even a different tone than what Text Enhance generates for the Sales Description field of the Sales/Pricing subtab.

Supply Planning Lot Sizing Options for Minimum Order Quantity

NetSuite 2023.1 includes the following enhancements to supply planning features: A Minimum Order Quantity will be required for new planned orders that are generated by the planning engine. If you need more quantity, you can add the required amount to the minimum quantity.

This enhancement will apply to the following NetSuite features:

  • Item Location Configuration: A separate Lot Sizing options will be provided for Minimum Order Quantity.
  • Planned Purchase Orders: When you use the Minimum Order Quantity option, planned purchase orders will display a quantity greater than the minimum order quantity when the required quantity is greater than minimum order quantity. The quantity will be equal to the minimum order quantity when the required quantity is less than or equal to the minimum order quantity.

New Commit Plus Overage Feature in SuiteBilling

In 2023.2, SuiteBilling has a new feature, Commit Plus Overage. Companies can use Commit Plus Overage to charge prepayment for a contracted amount of usage at a specified rate. Then, if the customer uses more than the contracted amount, the additional usage is charged at an adjusted rate.

Project Plan Improvements

On project records, the Financial tab now shows the Project Revenue Recognition Summary information, which is visible when the Project Revenue Recognition feature is enabled. The summary information shows total revenue, recognized revenue, planned revenue, and a link to Revenue Arrangement. This improvement helps you find the respective revenue arrangement for the project. It provides more transparency, and with Suiteness in mind, it is surfacing basic Project Revenue Recognition data, along with the link to revenue arrangement in the Financial tab in the new Revenue Recognition sub-section.

The Project Plan Recalculation information is now displayed on the Project Plan subsection of the System Information tab. It shows the project plan recalculation data, such as the last project plan recalculation date and time, if the project plan is being recalculated, last project plan recalculation time, average project plan recalculation time, and project plan recalculation triggers. The System Information tab now shows the System Notes subtab. This subtab displays information about what has been changed within recalculation.

Cash 360 Enhancements

  • In the Cash 360 dashboard, you can now view cash projections not only for your subsidiary but also for other active subsidiaries, including consolidated subsidiaries.
  • The opening balance amount now considers the sum of all chart of accounts with the type bank for your subsidiary up to the current posting period only.
  • The cash forecast table now includes all posting transactions that contribute to the computation of A/R and A/P amounts. Previously, the cash forecast table only considered invoices for A/R and vendor bills for A/P.
  • You can now view future-dated transactions in the cash forecasts. Future-dated transactions are transactions for specified date ranges that fall into the next posting period. Future-dated transaction amounts are also included in the total closing balance calculations.
  • In the cash forecast table, you can now click any of the following amounts to open a window that lists all accounts included in the calculation of the amount:
    • Opening balance
    • Future-dated transaction
    • Accounts receivable
    • Accounts payable

Work Instructions and Traveler SuiteApp Now Available

The Work Instructions & Traveler SuiteApp enables you to generate traveler reports of required work orders. Using these reports, the shop floor personnel can perform day-to-day assembly operations. A traveler report outlines information such as required components, work order details, and work instructions to perform each step in the operation. This report is intended to travel from one work center to another for each operation in the work order until the work order is complete.

The SuiteApp includes the following:

  • A traveler report that uses a default template to generate the report for the shop floor personnel. You can also create your own custom template.
  • The Traveler Preferences page to generate the traveler report in the desired template format and desired directory location within the file cabinet.
  • The Work Instructions subtab in a manufacturing routing record, where you can define instructions in text format, is associated to every operation within routing in a sequential manner.
    • In the URL column, you can associate a single URL to each of the operation steps.
    • Using the Print Image box, you can also print the images associated to the URL in the traveler report.
    • The Work Instructions & Traveler SuiteApp will enable you to view the work instructions and images in the Manufacturing Mobile SuiteApp. This feature will be available in NetSuite 2024.1 release.
  • The Generate Traveler page to filter the required work orders defined for a location that need to be included in the report and print the report.
  • A Print Traveler button in the work order transaction so that you can print instructions related to the work order.
  • Support for CSV import and export of instructions from Advanced Manufacturing SuiteApp to Work Instructions & Traveler SuiteApp. This feature can help Advanced Manufacturing users retain the existing work instructions for corresponding routing associated to an assembly item.

Intelligent Recommendations Available to Enable in all Accounts

The Intelligent Item Recommendations feature uses artificial intelligence algorithms to calculate and display product recommendations to sales representatives and web store shoppers. From 2023.1, this feature can be enabled in all NetSuite accounts that have the Customer Relationship Management or Website features enabled.

For more information about enabling the Intelligent Item Recommendations feature, see the help topic Enable Intelligent Item Recommendations.

You can check what types of recommendations are available in your account on the Recommendation Availability screen, which you can access at Commerce > Marketing > Intelligent Recommendations > Recommendation Availability.

The recommendation types available in a subsidiary or website depend upon the number of inventory items and the number of transactions in the past 12 months. For more information about eligibility criteria, see the help topic Account Requirements for Intelligent Item Recommendations.

From 2023.1, sales representatives can view and choose from intelligent item recommendations as they create opportunity records for prospects or customers. This is in addition to the ability to use these recommendations on the sales order and estimate records, which has been available since 2022.1.

The artificial intelligence algorithms that calculate the recommendations use data such as:

  • what the customer bought in the past
  • what other customers with similar transaction history bought in the past
  • what other items were bought by customers who bought a specific item
  • items in the same account that have similar names, descriptions, and categories

When the Intelligent Recommendations feature is enabled, an Intelligent Recommendations button appears on opportunity records. After sales representatives have selected the customer or prospect, they can click Intelligent Recommendations to view intelligent recommendations. They can also add one or more items to the opportunity before they click the button.

The items recommended apply to the specific combination of customer and items selected. A different combination results in different recommendations. Because the machine learning algorithms continuously process and learn from the transaction data, the recommendations that are shown change and improve over time.

Item 360 Dashboard

The Item 360 Dashboard SuiteApp provides real-time and concise overview of an item’s current status. The SuiteApp lets you view all current transactional data that is impacting the item along with related alerts that help you make informed decisions.

Advanced Revenue Management Period Close Checklist Tasks Enhancements

The Period Close Checklist now contains two new tasks:

  • Recognize Revenue – This task enables you to create revenue recognition journal entries.
  • Reclassify Revenue – This task enables you to create revenue reclassification journal entries.

You can mark both tasks as complete if you do not want to run these processes.

When using the Period Close Checklist, accounts receivable and accounts payable must be locked before recognizing and reclassifying revenue. When accounts receivable and accounts payable are locked, the revenue recognition and revenue reclassification journal entries are posted to the same period you’re closing. To access the Period Close Checklist, go to Setup > Accounting > Manage G/L > Manage Accounting Periods. For information about completing Period Close Checklist tasks, see the help topic Using the Period Close Checklist.

The Advanced Revenue Management (Essentials) feature must be enabled to see the revenue recognition and revenue reclassification tasks in your Period Close Checklist. For more information, see the help topic Enabling the Advanced Revenue Management (Essentials) Feature.

The Edit or Full level of the Manage Accounting Periods permission is required to set up, edit, lock transactions for period close, or reopen periods. For more information about permissions, see the help topic Accounting Period Management.

You can run the revenue recognition and revenue reclassification processes at any time. You should run these processes at the end of the period. For more information, see the help topics Revenue Recognition Journal Entries and Reclassification of Deferred Revenue.

Storage Info tab removed from NetSuite Account Center

The Storage Info page has been removed from the NetSuite UI because Total Storage is no longer used as a metric for your Service Tier usage.

Instead, users with the Administrator role or System Administrator role can check the File Cabinet storage size or the number of monthly transaction lines the account uses. To check these metrics, go to Setup > Company > View Billing Information.

If you have bookmarked the Storage Info page, you will be redirected to the Billing Information page.

End of Support for New SMS/Voice Call Setup for Two Factor Authentication (2FA)

As of March 1, 2023, the 2FA setup using SMS/Voice Call will no longer be available. This change will not affect already existing 2FA setups.

If you need to set up 2FA in your account after March 1, 2023, you will be able to use only an authenticator app. The option to generate backup codes is not affected by this change. The SMS/Voice Call option is not available as a secondary option for 2FA either. End of support for SMS/Voice Call is the first step in a process of transforming 2FA to more secure authentication method.

Project Status Enhancements

When using Charged-Based Billing and Project Revenue Recognition, you can now customize which actions are triggered by the status of your projects. These triggers are also available for custom statuses.

  • Create Actual Charges During Midnight Run – This box is available when using Charge-Based Billing. Check it to indicate that for projects with this status, actual charges should be created during the midnight run. For the In Progress project status, this box is checked by default.
  • Create Forecast Charges During Midnight Run – This box is available when using Charge-Based Billing. Check it to indicate that for projects with this status, forecast charges should be created during the midnight run. For the In Progress project status, this box is checked by default.
  • Completely Billed – This box is available when using Project Revenue Recognition. Check the box to show the Completely Billed button at the top of a project record set to this status. Click this button to begin the project revenue reconciliation process. For the Closed project status, this box is checked by default.

Here are some items we think are looking valuable in the NetSuite 2022.2 Release.

Advanced Revenue Recognition Updates

The Advanced Revenue Management feature is now split into the following features:

  • Advanced Revenue Management (Essentials) – This feature supports the use of revenue arrangements and plans to automate revenue deferral, recognition, forecasting, and auditing.
  • Advanced Revenue Management (Revenue Allocation) – This feature is an add-on to Advanced Revenue Management (Essentials). This feature supports the use of fair value pricing, range checking, and fair value formulas to allocate revenue across several performance obligations.

This update does not affect functionality for existing NetSuite accounts that have the Advanced Revenue Management feature enabled. The Advanced Revenue Management (Essentials) and Advanced Revenue Management (Revenue Allocation) features will be enabled automatically in these accounts.

Multi Subsidiary Customer Now Compatible With Consolidated Payments

At long last NetSuite 2022.2 provides compatibility between the Multi Subsidiary Customer and Consolidated Payments features! To use these features together, a new restriction applies to customer hierarchies. That restriction is that all parent customers must have all subsidiaries of their sub-customers. Cash 360 Now Available

Cash 360 SuiteApp version 1.00.0 is now available for installation from the SuiteApp Marketplace as a public and managed SuiteApp.

Cash 360 lets you effectively manage cash flow. It provides a real-time view of your company’s cash position and the ability to generate fast and accurate near-term forecasts.

The SuiteApp has a cash management dashboard where you can do the following:

  • Inspect real-time cash projections using charts and graphs.
  • View the current total bank balance, payables, and receivables.
  • View A/P and A/R aging summary pie charts.

Cash 360 also has the following cash forecasting features:

  • Ability to set the forecast period preference to days, weeks, or months. This lets you see the impact of future cash inflow and outflow on the company’s cash position in various periods.
  • Ability to group account codes to predict cash flow for a category rather than for individual accounts.
  • A cash forecast table that shows the projection of financial inflows and outflows.

Cash forecasts are derived from NetSuite data. You do not need to set up or import data from other sources.

You can also add ad hoc cash inflow and outflow lines, such as finance inflow or capital investments, into the cash forecast. This enables you to better predict your company’s cash requirements and analyze your company’s liquidity status.

Enhanced U.S. and Canada Bank Feeds Configuration Setup Interface

You can now connect to a U.S. or Canada financial institution through a modern configuration popup window with updated labels.

Previously, the configuration window consisted of a three-phased setup to connect your financial institution to NetSuite.

To ensure optimized account linking and verification, the configuration popup window has been upgraded with the following:

  • A new search algorithm with clear financial institution names and help text.
  • Labels and error messages that provide you with clear steps.
  • Ability to connect with financial institutions that use Open Banking technology and import your bank
    data.

The system automatically redirects you to the financial institution’s website to authenticate your credentials and authorize NetSuite to retrieve your bank data for import

Project 360 Dashboard Now Available

Project 360 Dashboard version 1.00.0 is now available for installation from the SuiteApp Marketplace as a public and managed SuiteApp. The SuiteApp provides a project dashboard with a centralized view of key metrics and data points to manage projects efficiently.

Project managers can access the Project Portfolio page to view all the projects assigned to them. They can also drill down to detailed project insights from the following focus pages:

  • Project Overview
  • Resource Planning
  • Budget and EAC
  • Billing and Revenue
  • Financial

Project managers can use this SuiteApp to:

  • Access and review key performance indicators for one or more projects in one place.
  • View various information about the primary details of a project.
  • Monitor and allocate project resources, and view high-value tasks and deliverables.
  • Monitor spending against the budget on a project’s current progress.
  • Track client invoices and monitor revenue for a project.

Menu Search Enhancement – Show all hierarchy levels in the Navigation Menu in Global Search

NetSuite Global Search results now include all hierarchy levels within the Navigation Menu. For more information, see the help topic Navigation Menu. When you enter keywords in the Global Search, the enhanced results appear under a Menu Results heading. The Menu Search feature is enabled by default. To disable the menu search, go to Home > Set Preferences. On the Analytics subtab, clear the Page Search box.

Create NetSuite Vendor Bills From Uploaded Files

In 2022.2, you can upload scanned vendor bill files into the File Cabinet, and then create NetSuite vender bills from the uploaded files. This process supports both items and expenses. Uploading vendor bills eliminates the vendor bill data entry process, and reduces manual errors and inconsistencies that occur
when entering vendor bills.

Uploaded files appear on the Scanned Vendor Bills page after you refresh the page.

When you click a Review Bill link, an optical character recognition (OCR) program reads the data on the scanned bill. The Review Scanned Bill page opens. This page presents the scanned file on the left side, and the vendor bill on the right side. Complete the fields, as required. When you are satisfied with the information, click Create Bill. When the bill is created, NetSuite redirects you to the bill, where you can process this bill as you would any NetSuite bill.

Using this method for creating vendor bills dramatically increases efficiency. In addition, NetSuite remembers what suggestions were correct or incorrect, and implements those suggestions the next time a bill is created for that vendor.

If you are tasked with processing scanned vendor bills, your Reminders portlet on the Home page provides a link to the bills that require processing. You can also go to the Scanned Vendor Bills page. Paired Intercompany Transactions Enhancement

NetSuite 2022.1 lets you pair stand-alone intercompany credit memos and vendor credits. You create a link between the two documents through the Paired Intercompany Transaction field on the two records. NetSuite filters the relevant documents based on the subsidiary, entity, and currency. For more information about pairing intercompany documents, see the help topic Pairing Intercompany Transactions.

New Supply Allocation Pop-up Window

The Allocated Demand and Allocated Supply pop-up windows are now available on the Supply Chain
Snapshot:

  • On supply order lines, such as purchase orders, transfer orders, or work orders, the allocated demand figure links to a pop-up window. This pop-up window displays the details of each allocated demand order.
  • On inventory lines, the allocated demand figure links to a pop-up window, which displays the details of each allocated demand order.
  • Allocated demand order lines can be sales orders, transfer orders, order reservations, or work orders.
  • On demand order lines, such as sales orders, transfer orders, or work orders (component lines), the allocated supply figure links to a pop-up window. This pop-up window displays the allocated source of supply details. Sources of supply can be inventory or supply orders.
  • When an organization experiences shortages, demand orders are delayed. The allocated supply pop-up window displays where the inventory or supply is missing or delayed.
  • The allocated demand pop-up window displays where supply order or inventory is allocated, and which demand orders are affected

Advanced Project Budgets Enhancements

The Advanced Project Budgets feature introduces the following enhancements:

  • Flexibility for the Project Budget record – With this updated functionality, you can create two types of project budgets – either Baseline or Estimate at Completion (EAC). You can update both types independently because NetSuite stores data for both budget types separately.
  • Update of the current Budget vs. Actual reports – This enhancement includes adding data from both baseline and EAC budgets. You can compare them with each other and with actuals in the Baseline vs. Actual vs. EAC report.
  • New subtabs on the Budget tab of the Project form – You can now see the EAC Budget, Baseline Budget, and Budget History subtabs, The EAC Budget and Baseline Budget subtabs let you display both budgets on the Project form. The Budget History subtab includes the version history of project budgets. Previously, the Budget tab on your project showed the information for the latest baseline budget only.
  • New button label name – The Make Copy button on the project budget is renamed to Create New Budget Version.

Dataset Linking in the SuiteAnalytics Workbook UI

You can now link two datasets in the Workbook UI. Linking datasets enables you to analyze metrics from two datasets in a single visualization, based on a link that you define using at least one field in each dataset. You can link datasets even if they are based on record types that do not have predefined common keys in the analytics data source, unlike when you join record types in a dataset. Additionally, with linked datasets, you can compare data that exists on two different levels of aggregation, like the sum of individual transactions versus a monthly budget.

Supply Planning Enhancements

NetSuite 2022.1 includes the following updates to the Supply Planning feature:

  • An Item Description is now included on all Workbench Detail Panels. The vendor’s name appears on the Supply Detail panel source field.
  • A new Safety Stock line has been added to the Workbench Date-Based Grid view.

New Planning Workbench View Filters

This release enables you to create a saved planning workbench view which can include pre-set filters and an embedded item saved search. The item saved search can include item-related criteria, such as item location and preferred supplier.

You can use Saved Search to filter the planning workbench results for the item preferred supplier. This enables the planner or buyer can view all related planning data for that supplier.

The Supply Planning Workbench Saved View feature enables you to create a saved search that filters for an item custom field that you can recall. This feature combines these concepts to provide a set of saved searches, and a custom search.
